Ideas for Setting Up Graduation for Students

    Location

    • The location of the graduation event is dependent on the size of the expected crowd and the available facilities. First decide whether to have the event indoors or outdoors, keeping in mind that an outdoor graduation will require a backup plan in case of unpredictable weather. Consider also the lighting and acoustics of the venue, as you want to be sure that everyone can see and hear the ceremony. Popular locations include gymnasiums, banquet halls, sports stadiums and parks. Be sure to book your location in advance to ensure you get the date you want.

    Speakers

    • Speakers are an important part of graduation ceremonies. You will need to arrange for several speakers, including an emcee, a representative of the graduates such as a class officer, representatives from the school administration such as a school board member and a guest speaker such as a past alumnus. The number of speakers is flexible, but having at least one speaker from each group keeps the ceremony flowing while getting a variety of perspectives.

    Entertainment

    • Arrange for entertainment at graduation by inviting the school choir or band to perform selections throughout the ceremony. Consider selections like special graduation songs, the class song or other tunes deemed appropriate. Ask the band to play background music while graduates are marching in and while they receive their diplomas. You can also design a slide show of portraits of the graduates to play while the choir sings. Showcase graduates involved in band or choir by asking them to perform solo performances. This entertainment will help make the ceremony more memorable.

    Ceremonial Proceedings

    • Arrange when you will hand out diplomas and how this will be done. Decide whether students will be given diplomas directly, or if they will receive a diploma holder and pick the actual diploma up later. Picking them up later can prevent a mix-up of diplomas between the graduates. Determine how much time you will need for the processional and recessional, and consider photo opportunities as well.

    Honors

    • Choose whether or not to recognize special honors at the ceremony. Honors can include grade-point average achievements, organization involvement or scholarship awards. For example, at a high school graduation, allot time to recognize scholarships individual students received to help pay for further education. Recognize scholastic achievement by providing special graduation cords for honor students to wear, recognizing their achievements.
